Offline Conversion Tracking with Notion

If your pipeline lives in a Notion database, you can still feed your ad platforms. Here is how, and when to stop.

If your pipeline lives in a Notion database, you can still feed your ad platforms. This post shows how, and is honest about when you should stop and use something else.

When this fits

  • Your leads and deals are tracked in Notion and moving them is not on the cards.

  • Volume is low, up to maybe a hundred leads a month.

  • You are willing to use an automation tool as glue.

It fits badly at volume. Notion‘s API is rate limited and not built for this, and a spreadsheet or Airtable will give you less friction for the same effort.

What you will build

  1. A leads database with attribution properties.

  2. An automation that creates rows from your website form.

  3. A trigger on status change.

  4. A feed into Google Ads.

Let’s implement it

Step 1: design the database

Properties you need:

  • Text: gclid, gbraid, wbraid, fbclid

  • Text: first and last touch source, medium, campaign

  • Date: click date and outcome date

  • Select: stage

  • Number: value

Use plain text properties for the click IDs. Do not use formula or rollup properties, because you need the raw string out again.

Step 2: create rows with the data attached

Notion has no web forms with hidden fields, so your website form posts to Make or Zapier, which creates the Notion page with every property filled.

This middle step is unavoidable with Notion, and it is also where you can clean and normalise the values.

Step 3: trigger on stage change

Notion’s native automations are limited, so most setups poll. Have Make check the database every hour for rows whose stage changed to Won and which have not been marked as uploaded.

Add an Uploaded checkbox property and set it after a successful send. Without it you will double upload, which inflates your conversions and misleads bidding.

Step 4: send it

Post to a sheet that Google Ads imports on a schedule, or call the API directly from your automation.

Being honest about the limits

Notion is a lovely place to think and a mediocre place to run an automated data pipeline. The API is rate limited, property types can change under you, and there is no native deduplication.

If this is your setup, do it, and set a threshold now: when you pass a hundred leads a month or when the automation starts failing, move to Airtable or a real CRM. Deciding that in advance saves an unpleasant quarter.

Before you finish

  • Real ad click, real form submission, Notion row created with the click ID.

  • Change a test row to Won and confirm the automation picked it up within the hour.

  • Confirm the Uploaded checkbox is being set.

  • Check the match rate after an upload.

  • Check your automation tool’s error log after a week.

FAQ

Can Notion call an API directly?

Not usefully for this. You need an automation tool in the middle. Plan for that cost.

Will I hit rate limits?

At low volume, no. Polling a database hourly is fine. Polling every minute across several databases is asking for trouble.

Is Airtable better for this?

Yes, meaningfully. It has proper field types, automations with scripting, and a friendlier API: offline conversions with Airtable.

What is the simplest option of all?

No CRM at all, and you want the simplest possible version? I wrote a full walkthrough of that for Stape using nothing but a spreadsheet: Google Ads offline conversion tracking without a CRM. Click to read it here.

Need this built properly?

Use Notion for this if you must, and know when to move. I set up and repair tracking for ecommerce stores and lead generation businesses, so the numbers in your ad accounts match the money in your bank account.
